Job Description : Imperial Realty Company is an industry leader in commercial real estate headquartered in Chicago. Our portfolio consists of office buildings, shopping centers, and self-storage facilities. We are seeking a highly motivated, organized and experienced Office Manager to join our team.This individual will work independently with minimal supervision. Qualified candidate will have proven experience handling confidential and sensitive information professionally and consistently.Responsibilities-Responsibilities include but are not limited to the following:Supervise Administrative Assistant.Back up Administrative Assistant on phones while Administrative Assistant is on break.Open front office.Track and order all office supplies as well as research pricing.Monitor signage information.Order and invoicing for doorplates and directory strips for multiple properties.Manage company Phone/Fax System – set up new employees and move employees.Direct and share workloads for all administrative/clerical duties.Electronic directory- Run design program to set up / maintain electronic board via USB.Maintain Certificates of Insurance tenant liability files, vendor certificates, and start/stop billing.Manage carpet protector’s inventory.Organize lease/supply rooms.Retrieve company voice mail messages and route as needed, oversee voicemail for Holidays.Fill in for ext.40 and front desk at lunch time as needed.Maintain office machines, copiers, postage meter, computers, printers, fax etc.Create Lease files.Manage petty cash.Maintain Mailbox tags.Notarize documents-leasing, waiver, tax, etc.Maintain kitchen- start kitchen for the morning, empty dishwasher, make coffee, make sure the kitchen is stocked. Close the kitchen, start dishwasher, and make sure the kitchen is stocked. Maintain and clean fridge and ensure cleanliness.Required to pick up mail when post office fails to deliver.Required to go to the bank to make deposits.Assist with printer troubleshooting.Renewal Imperial license annually.Order Business cards, company letterhead, envelopes.Complete Fed Ex, and messenger services as needed.Complete end of year document removal, logging to Hall storage.Place ads and approve ad invoices.Work with brokerage department for new licenses and renewals, terminations and 45-day sponsor cards.Assist all clerical and office functions.Scan leases into Yardi.Prepare accounting invoicing for tenant mailing.Prepare 5-day notices.Other duties as assigned.Hours 8:00 am to 5:30 pmAssist other departments as neededQUALIFICATIONS:Bachelor’s degree or equivalent experience (Experience working in a real estate setting is a plus)2+ years of experience managing an office and staffOrganized, comfortable multitasking many projects & prioritizing requestsKnowledge of data and administrative management practices and proceduresComputer skills and knowledge of office software packages MS Word, Excel, and OutlookMust be detail-oriented and possess strong follow-up skillsExcellent customer service and communication skills both written and oralSelf-driven and high energy, with a willingness to learn new things and take on additional responsibilities as neededWe offer competitive compensation and benefits, including medical, dental and vision insurance, and a 401(k) plan.
