Job Description : Position Overview
The Office Coordinator provides administrative and clerical support to the audio visual office. This individual will perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Supports Company initiatives, business strategies and Core Values. This position reports to the Director, Event Technology.
Key Job Responsibilities
General clerical duties including photocopying, fax and mailing
Maintain electronic and hard copy filing system
Retrieve documents from filing system
Handle requests for information and data
Resolve administrative and accounting problems and inquiries
Prepare customer billing and handle all inquiries
Prepare and modify documents including correspondence, reports, drafts, memos and emails
Open, sort and distribute incoming correspondence
Maintain office supply inventories
Coordinate maintenance of office equipment
Maintain and track company issued mobile phones; reconcile monthly statements
Other duties as assigned
Job Qualifications
Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
Must be able to interact and communicate with individuals at all levels of the organization.
Must have knowledge of a variety of computer software applications in MSWord, Excel, Access, Outlook, and PowerPoint.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Working Conditions: This position will involve the following:
Extended periods of sitting in office environment.
Use of the arm, wrist and hands in keyboard and mouse usage.
Extended periods of looking at CRT/LCD screens.
Occasionally lifts up to 20lbs.
Travel up to 5%.
