||Represents the organization in a positive and professional manner in all interactions and communications. Assist management to plan and coordinate administrative procedures and systems and devises ways to streamline and improve office and program processes. Facilitates the overall smooth operation of office and program support functions. Assists and facilitates staff and management in their roles and responsibilities.ESSENTIAL RESPONSIBILITIES: 1. Assists with human resources functions within the program by completing various projects as assigned. Projects may be routine or unique periodic requests from administration.2. Greets visitors and answers phones with courtesy and professionalism; takes messages or answers routine and non-routine questions; follows through on inquiries as appropriate and in a timely manner.3. Creates, updates and distributes agency contact information and monthly calendar4. Maintains schedule of meeting rooms.5. Assists with various Medicaid compliance and documentation functions as assigned. This includes documentation of safety drills.6. Facilitates consumer arrival and dismissal daily and provides input, support and recordkeeping for this daily routine.7. Facilitates and supports a variety of staff and consumer payroll functions as requested by management. Assists staff with understanding and completing payroll information including correct use of payroll applications. Assists staff, consumers, and families with completing forms relating to payroll and benefits administration as applicable.8. Assists with business operations in a variety of ways as requested by management. Examples include but are not limited to, tracking purchase orders, delivery slips, facilitation of accurate invoice information, scheduling, etc.9. Provides for Major Unusual Incident and Unusual Incident tracking, reporting, logging and follow-up as necessary.10. Assists with purchasing, ordering, and tracking of supplies and materials for the daily operation of MASCO, Inc. Compares pricing and tracks use of purchased items.11. Assists with the development of communications with staff, consumers, families, providers and SSA’s as requested by management or routinely as required. Communications may include written, voice, electronic, fact-to-face interaction or social media platforms as requested by management.12. Maintains consumer and employee confidence and protects payroll and other operations by keeping information confidential.13. Complies with agency policies, procedures and federal and state requirements.14.
