Job Description : Step into an instrumental role. Help conduct the smooth operation of a fast-paced—and friendly—financial planning office. Work as an employee of three independent advisor franchises within Ameriprise Financial.This role provides administrative support for three Financial Advising teams. Acting as the hub of operations this role provides key administrative support and timely business processing task completion.This position will consistently follow high standards of business and professional ethics, as well as legal and regulatory requirements when dealing with others and/or performing work activities.Brief overview of ResponsibilitiesOverall responsibilities and time allocation may change over time to meet the needs of the Office.70% Administrative AssistanceYou will take primary responsibility for all incoming mail and deliveries and ensuring that strict compliance timelines are adhered to for business processing across teams for all incoming items. You will be responsible for all office purchasing needs within the guidelines of the office budget.20% Client CareThis role provides client relationship support through interacting directly with clients via phone, email and in person. Along with working closely with external stakeholders and internal team members to ensure the office standards are maintained. You will use a multi-line phone system to answer and redirect all incoming calls. Work closely with all 3 teams to aid in the resolution of client queries and develop and maintain vendor and stakeholder relationships.10% Office upkeepYou will be responsible for ensuring the internal and external appearance of the facility and work closely with the operations manager to ensure all required maintenance is completed on schedule and within budget.Key Traits of a Successful ReceptionistThis role demands an attention to detail and someone who is process driven. Excellent customer service skills, verbal and written communication along with an ability to manage multiple projects with the ability to adapt to new timely tasks is essential. Strong technology and troubleshooting skills including familiarity with office machines and software.
